To ensure the HR Staff Hub have all the correct information to advertise a role, departments will need to complete and submit a pre-recruitment checklist. This includes information on the advertising period, funding code, limit of tenure, pre-employment checks, advert text and further particulars. This should be completed by the department HR contact who will receive an automated confirmation of submission email once submitted. The HR Staff Hub will process the request and send the link and details of the published advertisement back to the HR contact in the department once complete.
The unadvertised checklist should be completed for roles that do not have a requirement to be advertised. These include short-term appointments of 6 months of less and Fellowships where an individual has been named on a Fellowship award letter. Much of the information required is the same as the pre-recruitment checklist, except advert text and further particulars are not required.
The interview checklist should be completed once shortlisting has taken place and interviewees are selected. The checklist provides the HR Staff Hub with the necessary information in order to send the interview invitations to candidates or to update the Web Recruitment System if the department are sending their own invitations. Information needed includes the candidates names, times and date(s) of the interview, the panel members and where the interviews will take place.
Once interviews have been completed departments should contact the successful candidate to make a verbal conditional offer to give them the good news, discuss start dates and the proposed starting salary. The verbal offer must be made subject to passing all the necessary pre-employment checks such as satisfactory references, successfully passing their probation period, DBS/Security/Basic Disclosure checks and any other applicable checks. The offer checklist can then be completed with the details of the offer which will be drafted and sent to the candidate by the HR Staff Hub.
